CMS: Managing Your Collection Item Statuses

You can control whether items appear on your live site directly from your collection. For collections created after November 4th, 2025, the Enable drafts setting is on by default. For older collections, you can enable it in your collection settings. Once enabled, you can choose the default status for new items, set items to 'Published' or 'Draft', and schedule automatic status changes.

You can also save new items and edits as drafts first, until you publish them. Learn more about saving collection changes as drafts before publishing.

Important:

The Enable drafts setting is automatically enabled for collections created via presets, AI, import, or from scratch. It does not apply to collections in the Blocks Editor, Headless sites, or sites with Dev Mode enabled.


Turning on the 'Enable drafts' collection setting

If your collection was created before November 4th, 2025, you need to turn on the Enable drafts toggle in your collection settings. For newer collections, this feature is already enabled. You can then choose whether new items should be set to 'Published' or 'Draft' by default.


Once the Enable drafts toggle is enabled, your collection includes a new Status field. In that field, you can set the status of each item and schedule future changes to the statuses.

  1. Go to CMS in your site's dashboard. 

  2. Click the relevant collection.

  3. Click More Actions at the top and select Collection settings.

  4. Make sure the Enable drafts toggle is on and Publish changes immediately is selected. 

  5. Choose the default status for new items:

    • Draft: New collection items do not appear on your live site as they cannot be read by datasets.

    • Published: New collection items can appear on your live site if the elements are properly connected to a dataset.

  6. Click Save.

Tip:

To save new items and edits as drafts until you publish them, select Save changes as draft first instead. Learn more about saving collection changes as drafts before publishing.


Changing an item's status to 'Published' or 'Draft'

In your collection, click the Status field to change it to 'Published' or 'Draft' for the relevant items.
Note:
  • Draft items: Cannot be read by datasets, so they cannot appear on your live site.
  • Published items: Can appear on your live site as long as the elements are properly connected to a dataset that connects to your collection.
  1. Go to CMS in your site's dashboard. 
  2. Click the relevant collection.
  3. Click the Status field for the relevant item.
  4. Select the relevant status:
    • Published: Allow the item to appear on your live site.
    • Draft: Prevent the item from appearing on your live site.

Scheduling changes to an item's status

You can schedule an item to switch to 'Published' or 'Draft' at a date and time of your choice. 
  1. Go to CMS in your site's dashboard. 
  2. Click the relevant collection.
  3. Click the Status field for the relevant item.
  4. Click Schedule.
  5. Select the date and time in which the item's status will change. The date and time is based on the time zone set for your site
  6. Click the relevant option: Schedule 'Draft' or Schedule 'Published'
