Wix Studio: Managing Your Automations

Streamline client-related tasks with Automations in your Wix Studio workspace. Stay engaged with clients and save time by automating emails for new leads, thanking clients for invoice payments, sending payment reminders, and more.

Note:
Automations apply to your Wix Studio workspace and are not site-based (e.g. automations triggered by Wix Forms or Wix Bookings). 

The structure of an automation

All automations are structured around a trigger and an action. The trigger is the event that initiates the action, prompting a response. This action can occur immediately following the trigger or be scheduled to take place after a specified duration, such as hours or days.

The trigger

An automation's trigger is what causes the action to occur. Start by choosing an app for the trigger, then specify what needs to happen in the app for the action to occur. 
For example:
As a Wix Partner, you can send an email to potential clients when you receive a new lead from the Wix Marketplace. Click the Marketplace app and select New lead created as the trigger

The timing

The timing determines when exactly the action takes place following the trigger. You may want to perform the action immediately after the trigger occurs, or set a delay to send it after a certain amount of time has passed. If you don't add a delay, the action is performed as soon as the trigger occurs. You can also limit the amount of times the same contact can trigger the automation in the Limit frequency to drop-down. 
For example:
Delay the action from occurring until 3 days after the trigger happens by clicking + Add Delay and choosing 3 Days After the trigger

The condition (optional)

After choosing a trigger for your automation, you can enhance its functionality by adding a condition. Conditions allow you to create more intricate automation flows tailored to your business needs by adding a criteria for the action to occur.
For example:
As a Wix Partner, you might want to send email updates only to potential clients who match certain criteria, such as being from a specific country or having a particular project type. By setting a condition based on these parameters, you can ensure that your automation targets the desired client segment accurately.

Note:
We are currently in the process of releasing conditions, so they are not available for all triggers yet.

The action

After setting up your trigger, choose the action that will happen next.
For example:
You can automatically send an email to potential clients when you receive a new lead from the Wix Marketplace. Click the Marketplace app and select New lead created as the trigger, then select the Send an email as the action to do so. This also automatically changes the status of the project to 'Contacted' so the lead does not expire.

Tip:
Click + Add an Action at the bottom to add another action to the automation, like creating a task for your team. 

Creating automations

Create your own automations from scratch or choose from several Partner-related templates. You can use automations to send personalized emails to new leads from the Wix Marketplace, thank clients for paying an invoice or accepting a price quote, notify clients of an invoice that is due and more.

To create an automation:

  1. Go to Marketplace Overview in your Wix Studio workspace.
  2. Click the Automations tab under CRM Tools on the left.
  3. Click + New Automation at the top right.
  4. Choose how to create your automation:
    • From scratch: Click + Start from Scratch
    • From a template: Choose a template from the list and click Set Up.
  5. Click the title to give your automation a name.
  6. Choose an app and set the trigger and action.
  7. Customize your automation:
    • Click + Add Delay to choose when the action should occur.
    • Click + Add Condition to choose a criteria for the action to occur. 
    • Click + Add an Action to add another action to the automation.
  8. Click Activate.

Managing your automations

After creating automations, they appear in the Your automations section. Here you can activate/deactivate, edit, rename, duplicate, and delete your automations.  

To manage your automations:

  1. Go to Marketplace Overview in your Wix Studio workspace.
  2. Click the Automations tab under CRM Tools on the left.
  3. Hover over the relevant automation and click View Summary.
  4. (Optional) Click the toggle  to activate or deactivate the automation.
  5. Click More Actions and choose an option (Edit, Duplicate, Rename, View email stats or Delete).

Automation analytics

View detailed statistics for each automation that sends out an email to clients. Analyze your delivery statistics to gain valuable information about how your contacts responded to your emails, including the number of emails that were delivered, opened, clicked, bounced, and reported as spam.

To view statistics for automations that send emails:

  1. Go to Marketplace Overview in your Wix Studio workspace.
  2. Click the Automations tab under CRM Tools on the left.
  3. Hover over the relevant automation and click the More Actions icon .
  4. Click View email stats.
