Email templates save you time and effort, as staff can select and customize pre-written messages. They also allow you to maintain consistency in your messaging and branding when contacting guests. Enhance your guests' booking experience with timely and relevant communication.

Using dynamic values in your email templates

Dynamic values are variables that you can insert into your email templates and replace with personalized information when you send emails to an individual recipient. You can edit the text of the subject line and email body and then add dynamic values to offer a better experience to your guests.

To use variables in your email templates:

  1. Go to Email Templates in your site's dashboard. 
  2. Click Edit next to the email template you want to customize with dynamic values. 
  3. Click the Variables drop-down next to the Subject or Body content sections.

  1. Choose the relevant variable from the different variable types: Property, Customer, or Reservation.
    Note: You can also add different Content block variables to the body of the email. These include: Contact info, Policy tables, Payment content blocks and even a Reservation details button. 
  2. Copy and paste the variable to the correct location in the email Subject line or Body content
  3. When you are happy with the changes made to your email template, click Update

Customizing your automated emails

You can customize your automated emails with text and with variables. This allows you to maintain consistency with your guests across all of your communications, while adding a personalized touch to welcome your guests.
With Wix Hotels by HotelRunner, you can customize the following email templates:
  • Information email content: The first email guests receive after they make their initial booking.
  • Modification email content: The email guests receive after they make any changes to their booking. 
  • Cancelation email content: The email guests receive after they cancel their booking.
  • Confirmation notification email content: The email guests receive after they confirm their reservation. This email can also be sent manually by your staff members if guests require additional confirmation or did not receive their initial confirmation email for any reason. 

To customize your automated emails:

  1. Go to Email Templates in your site's dashboard.
  2. Click Edit next to the email template you want to customize.
  3. Click to edit the text in both the subject line and the body of the email. 
  4. (Optional) Add any variables you require in the Subject or Body content of the email, following the steps in the section above. 
  5. Click Update at the top. 
  6. (Optional) Click the More Actions icon  at the top, and then click Send test email to preview the changes you made.
    Note: You can revert to the original template text by selecting Apply default template.
