Wix Bookings: Managing Your Staff and Hours Using the Wix Owner App

As your business grows, you can add new staff members and update your staff hours, even while you're on the go. Add, edit, or delete staff members' hours, directly from the Wix Owner App at any time.
To allow maximum flexibility, you can also create one-time changes to the regular working hours.

Adding a new staff member using the Wix Owner app

As your team grows, you can add new staff members to your site using your mobile device. Their availability is based on your default work hours, unless you create custom working hours. This is a great way to handle admin while you're on the go.

To add a new staff member:

  1. Go to your site in the Wix Owner app.
  2. Tap Manage  at the bottom.
  3. Tap Booking Calendar.
  4. Tap the Staff tab.
  5. Tap + Add New Staff Member.
  6. Enter the staff member's details including their Profile Picture, Full Name, Email and Phone
  7. Tap Save at the top.

Creating custom hours for a staff member

You can create custom hours for specific staff members who work part-time or different shifts. You can then set how often these custom working hours repeat.
Note:
When you update a staff member's working hours, you create a custom work schedule for them which is separate from your default business hours. You can only revert the staff member back to the default hours manually.

To create custom hours for a staff member:

  1. Go to your site in the Wix Owner app.
  2. Tap Manage  at the bottom.
  3. Tap Booking Calendar.
  4. Tap the Staff tab.
  5. Tap to select an existing staff member.
  6. Tap Add Hours next to Working Hours.
  7. Tap Continue
  8. Tap to select the Start Date for the staff member's new work schedule.
  9. (Optional) Tap + Set an end date to make the change to the staff member's work schedule temporary. This is useful for maternity leave cover, for example.
  10. Tap to select the days the staff member is available to take appointments.
  11. Tap to select the Start Time.
  12. Tap to select the End Time.
  13. Tap to select the location for these hours from the drop-down. 
  14. Tap the Repeats drop-down to select how often your staff member works these hours at these locations: Weekly, Every 2 weeks, Every 3 weeks or every 4 weeks.
    Note: A summary of the staff member's custom hours appears at the bottom of the screen. 
  15. Tap Save at the top. 
  16. (Optional) Repeat steps 6-15 to create additional custom work hours for the same staff member. This is useful if you have multiple locations or if the staff member changes location during the day.

Making one-time changes to staff working hours

You can create one-time changes to regular working hours to allow maximum flexibility. This is useful if a staff member has to leave work early, for any reason. It also works great if your staff work irregular shift hours that change from week to week. 
Note:
When you update a staff member's working hours, you create a custom work schedule for them which is separate from your default business hours. You can only revert the staff member back to the default hours manually.

To make one-time changes to staff working hours:

  1. Go to your site in the Wix Owner app.
  2. Tap Manage  at the bottom.
  3. Tap Booking Calendar.
  4. Tap the Staff tab.
  5. Tap to select an existing staff member.
  6. Tap the More Actions icon  next to the relevant day of the week. 
  7. Tap Edit
  8. Tap the relevant option under When do you want to apply these changes?:
    • Now: The change in shift takes effect immediately. This is useful for last-minute changes.
    • Schedule for later: Decide when the change in working hours takes place. This is useful for future planning.
      1. Tap to select the Start Date
      2. Tap + Set end date and choose the appropriate end date.
  9. Tap to select the relevant Start Time and End Time for the one-time change. 
  10. Tap to select the relevant location for the one-time change. 
  11. Tap Save at the top. 
  12. (Optional) Repeat steps 6-11 to create additional one-time custom work hours for the same staff member. This is useful if you have to arrange cover if another staff member is sick for several days.

Editing or removing a staff member's hours

As your business grows, staff may move locations or change shifts entirely. You can edit or remove working hours completely from a staff member profile in the Wix owner app. 
Note:
When you remove staff member hours, existing scheduled sessions remain on the calendar. You can remove or reassign these sessions manually. 

To edit or remove a staff member's hours:

  1. Go to your site in the Wix Owner app.
  2. Tap Manage  at the bottom.
  3. Tap Booking Calendar.
  4. Tap the Staff tab.
  5. Tap to select an existing staff member.
  6. Tap the More Actions icon undefined next to the relevant day under Working Hours.
  7. Choose what you want to do:
